How contractors can accept payments on-site
Getting paid at the jobsite can shorten the time between finishing work and collecting the balance. Once payment processing is set up, a contractor can create an Invoice in CompanyCam and give the customer several ways to pay based on the situation.
Contractors can collect or record payment using options including:
- Tap to Pay: Have the customer tap a contactless card or supported digital wallet on a compatible phone.
- Card payment: Let the customer pay from a shared Invoice link or enter their card information from the jobsite.
- ACH bank transfer: Give the customer the option to pay directly from their bank account.
- Offline payment: Record payment methods such as cash or check when online payment processing isn’t needed.
Without payment processing set up, Invoices still support offline payment methods such as cash or check. Connecting Stripe adds online card and ACH payment options.
What is Tap to Pay?
Tap to Pay lets a contractor accept an in-person contactless payment directly on a supported phone without using a separate card reader. The customer holds their contactless card or phone near the contractor’s device, and the payment is processed through the CompanyCam app.
After creating an Invoice, the contractor can open it in the mobile app and select Tap to Pay. The customer taps their card or phone on the device, and CompanyCam displays a confirmation when the payment goes through. This gives field crews a way to collect an invoice payment while they’re with the customer.
What is an ACH payment?
An ACH payment is an electronic bank-to-bank transfer that lets a customer pay an Invoice directly from a bank account. ACH can carry a lower processing fee than card payments, which can make it useful when collecting larger project balances.
Customers can select ACH when paying an eligible CompanyCam Invoice through its payment link. CompanyCam uses Stripe to process these payments, and customers can complete the transaction without having a CompanyCam account.
ACH payments generally take longer to process than card payments. Card payments can clear in up to one business day, while ACH bank transfers can take up to four business days.
Collect card payments from the jobsite
Contractors can also collect card payments without using Tap to Pay. Customers can open a shared Invoice and pay by credit card or supported digital wallet, or a contractor can manually enter the customer’s card information when collecting payment in person.
That gives the crew options based on how the customer wants to pay. A customer standing at the jobsite can tap a card on a supported device, while someone paying remotely can use the Invoice link from their own phone or computer.
Connect deposits to accepted proposals
Payment collection can start before the final Invoice. When creating a Proposal, contractors can require a deposit and choose the payment options they want to offer the customer. Proposals can also include project details, photos, files, terms, and a digital signature when those details are needed.
Once the customer accepts a Proposal with a deposit, the contractor can create an Invoice tied to that Proposal and collect the deposit. Additional Invoices can then support progress and final billing as the job moves forward, keeping the amounts connected to the work that was originally approved.
This creates a direct path from customer approval to payment. Crews and office teams can work from the same Project rather than rebuilding the job details each time they need to bill the customer.
Show customers what they’re paying for
An Invoice can include more than a dollar amount. Contractors can add itemized charges and pull saved services from Price Book, then attach photos and files from the related Project to support the charges.
Those attachments are included with the Invoice PDF, giving the customer documentation of the work behind the bill. A roofing contractor, for example, could attach photos of completed repairs or replaced materials alongside the corresponding charges.
Keeping billing connected to job documentation also gives the office access to the same project record the field team used. The Invoice, supporting photos, Proposal, and other job information can stay connected to the Project.
Track invoice and payment status
Collecting payment is only part of billing. Teams also need to know which Invoices are waiting for payment and which transactions are still processing.
CompanyCam shows Invoices across Projects with their amount, payment method, and status. Current statuses include Draft, Published (Open), Payment Initiated, Paid, Voided, and Refunded, while payout details are available through the connected Stripe Express dashboard.
Admins and Managers can use that information to follow billing across Projects without checking individual jobs one at a time. CompanyCam also sends a notification after Stripe confirms that an Invoice has been fully completed.
Standardize payments across crews and locations
Franchise operators and multi-location businesses need a repeatable way to move from completed work to billing. When each crew documents projects in CompanyCam and uses the same approach for Proposals, Price Book items, and Invoices, the business can create a more consistent billing process across its network.
Price Book can give teams a shared set of saved services and pricing to add to Proposals and Invoices when needed. Project photos provide a consistent record of completed work, while Invoice statuses give Admins and Managers visibility into billing across Projects.
