Proposals is a document builder inside CompanyCam Sales Suite. Use it to lay out your scope of work, break down line items, and collect a deposit before the job starts, all from inside a Project.
- Scope of work: Create detailed project descriptions manually or use AI Assistant to draft the scope from your project notes and documentation.
- Line items: Add services, materials, and pricing manually or pull standardized items from your Price Book for faster, more consistent proposals.
- Deposits & payments: Request deposits and let customers pay online as part of the proposal approval process.
- Photos & attachments: Include project photos and supporting files to clearly show the work being proposed.
- E‑signatures: Collect legally binding electronic signatures so customers can review and approve proposals from any device.
Creating a proposal
You can start a Proposal two ways. Open a Project, click Sales, then Create Proposal. Or open Proposals in the left-hand navigation, click Create Proposal, and pick the Project. Either path lands you in the same builder.
From there:
- Add a title and confirm the customer’s contact info.
- Describe the scope and timeline. Write it yourself, or let the AI Assistant draft it from the Project’s details and your past Proposals.
- Add line items one at a time, or pull them straight from your Price Book. Each item gets a name, quantity, price, and an optional description.
- Review the subtotal and add tax if the job needs it.
- Decide on a deposit and which payment methods you’ll accept. If you take cards, choose whether the processing fee gets passed to the customer.
- Layer in add-ons: Photos from the Project, supporting Files, your Terms and conditions, and e‑signature if you want the customer to sign before the job starts.
On mobile, the AI Assistant works the same way, and you can pull in Files or Pages from the Project as context, useful when a measurement doc or a walkthrough note already exists. Tap Preview on web or View on mobile before you send.
Only Admin, Manager, and Standard roles can build a Proposal. Any role, including Restricted, can duplicate one, in any status, whether it’s a Draft, Sent, or already Approved. Duplicating is web-only, so save yourself a step and build your templates there.
What to know before you start
- Payments has to be active on your account before Proposals will work at all. If you haven’t set that up, do it first.
- The deposit isn’t optional once a Proposal is ready to go. It can be any dollar amount you want, but it can’t be zero, and a Proposal won’t move to Approved without one entered.
- Photos only pull in from inside the Project. There’s no shortcut from your camera roll, so if a shot needs to be on the Proposal, get it into the Project first.
- Notifications for accepted or declined Proposals go to Admins, Managers, and whoever built the Proposal in the first place. Everyone who needs to know finds out at the same time, on web and mobile.
CompanyCam Sales Suite
Sales Suite is a set of sales tools built into CompanyCam: Project Boards, Customer Directory, Proposals, Price Book, and Payment Processing. All of it runs on top of your existing CompanyCam account, so it pulls straight from the photos, projects, and customer info already sitting there instead of asking you to start over in a separate app.
Proposals turn sales visits into signed deals before you leave the driveway. Just answer a few guided prompts like contact info, scope, timeline, and line items. Add a deposit amount and a professional proposal will be generated on the spot. Send it to your customer, collect the deposit and lock in the job while the momentum is still hot, before a competitor can even send their bid. No office time, no switching apps, just money down.
