There are tons of moving pieces on a job site. From different team members and trades to customers and inspectors, solid project organization is the difference between a profit and breaking even.
That’s why thousands of users rely on CompanyCam Templates to tame the chaos of job site management. There’s no one way that all users implement these tools, but we’ll take you through a few common ways they put them into practice. But first…
Map It All Out
Organized work starts before you hop in the truck or open CompanyCam. You can have the best tech, templates, and tools, but your projects will still become messy without accounting for every task you need to do throughout a job.
Business owners and managers need to take a moment to sit down and put together their ideal standard operating procedure. This step is critical to meeting quality standards and getting the most out of your technology — and these in-app features.
Here are some more resources to help you with this first part:
Build Templates in CompanyCam
Now that you have the hard part out of the way, you can start to build your SOPs into CompanyCam via templates.
Project Templates
Project templates allow you to preload new projects with all the details your team needs, so they can spend less time tapping around more time getting to work, and doing it with fewer errors.
Project templates house all our other template types — which we’ll get to in a few sentences — meaning that when you create a project with a project template, all your needed checklists, reports, and documents will be ready.
If you constantly use the same project template, you can set it as your default template, saving an additional step on each new project.
Tip: Project templates work great with our direct integrations. So, if part of your SOP is to create CompanyCam projects from an integration with a CRM, your default template will still apply and be ready for your team.
Checklist Templates
You want your team to follow the same steps and collect the same photos on every job site. Checklist templates ensure that.
To start, set up a checklist template for each job stage and include what types of photos you need (e.g., while in the sales stage, you’ll want to gather photos of things like preexisting damage and areas where you will and won’t be working).
These checklists are the rubrics to measure your team’s performance and ensure that everything that needs to be done will be done. You can even include reference photos to these checklists to help your team know exactly what theirs should look like.
Tip: Create checklist templates for each type of job/service you offer. For example: HVAC Seasonal Service; NEW System Install; HVAC Duct Repair; Emergency Heating Repair
Report Templates
Photo reports are a great tool to help build a polished, packaged work summary. And report templates make it easy to standardize the report-building process without someone dedicating additional hours to creating them for each project.
Set parameters like the number of sections and their titles, the number of photos per page, and if you want additional details like time and location added to the photos.
Tip: If you often work with insurance (and specific adjusters) on projects, photo report templates will save you a ton of time and headaches. Build your templates around what they do/don’t want to see so you can speed up the claims process.
Document Templates
Are there docs you need for every job? Add these to your Document Templates.
Some common document templates other CompanyCam users add are contracts, statements of work, and materials lists. Additional ideas are to add OSHA safety sheets and other reference materials.
Tip: Signatures make adding text, signatures, and other data to your documents a breeze.
Organization = Profits
By building your standard operating procedures into CompanyCam, you ensure your team collects all the job site information you need and organizes it how you want.
After a few projects with your templates, you’ll notice how quickly your jobs are progressing and how communication is improving among your teams.
You’ll also run into some parts of your processes and templates that are no longer necessary or need adjusting. Luckily, you can make these quick changes without starting from scratch.
