Pages vs. Reports: When to Use Each in Your Business

Pages vs. Reports

One of the best things about CompanyCam is that no two companies use the app the same way. Some prefer to tag photos or add descriptions as they capture them, while others prefer to put those details right on the photos with annotations.

Pages and Reports are similar-sounding tools but have two different use cases. But if you’re just getting started with CompanyCam, you might want some direction to help you make the most out of each feature.

In this guide, we’ll break down the differences and share best practices for using both to streamline documentation and communication in and outside of your business.

Pages: Team Communication

Best for: Internal team communication and project tracking

Pages is our collaborative digital notebook tool that helps you summarize project updates to communicate with your team.

Pages are similar to Google or Word Docs; you can combine photos, text, lists, and tables to summarize your work and list what’s next. Unlike those tools, Pages won’t throw your formatting out of whack because of copying and pasting.

Depending on personal preference, you can start with a blank page or use a template for a work order, materials list, or estimate.

Build Pages Quickly with AI

You can also use Pages to generate reports using AI. Just select the photos you’d like to include, and AI will use those (and their descriptions) to create a summary filled with content and context that’s ready to share with your crew.

Reports: Show & Sell Your Best Work

Best for: Sharing photos with external stakeholders, like leads and insurance

Reports simplify the process of building polished PDF photo reports — complete with descriptions and company info — that you can use as part of your sales process or to send documentation to insurance adjusters.

Reports as a Sales Tool

Reports work well as a sales tool because they put your brand front and center. There are three main parts to a report that you can fully customize:

  • The cover page includes your company’s logo, project details, and a cover photo.

  • Sections help you break down the project into different phases or areas of focus.

  • Individual pages are where you add photos and text to add color to your proposal.

One solopreneur shares a Report with his clients detailing preexisting damage and areas he’ll address to sell the deal, then shares another Report with the completed photos via a link. His Reports process has led to him winning outsized commercial contracts with hospitals, banks, and business parks because they appreciate his thorough documentation.

Reports for Insurance Supplements

Working on insurance jobs is a delicate dance. Adjusters need extensive visual proof in the correct format and at the right time of the moon cycle to approve the claim.

Insurance companies love CompanyCam Reports because all the information they need is there — time, date, location, annotated photos—organized in an easy-to-follow PDF.

Pro Tip: Download and send photo reports to adjusters as PDFs. While you can send them as a URL, these companies typically don’t like clicking them for cyber security reasons.

AI daily log mobile and desktop view

In short, Pages are used for internal team communication and project tracking, while Reports are primarily used to share project details with external stakeholders, like customers and insurance adjusters.

But at the end of the day, you can use CompanyCam however you want. It might be better for your workflow to share Pages with clients or Reports with people within your company — use these tools to fit your business needs!
