What CompanyCam and QuickBooks Online can do
The integration connects QuickBooks Online customer and billing records with the corresponding project records in CompanyCam. Once connected, information can move between the platforms based on the type of record and your integration settings.
Here’s what the integration currently supports:
- Create Projects from new Customers and Sub-Customers: New QuickBooks Online Customers and Sub-Customers automatically create matching CompanyCam Projects.
- Sync Estimates and Invoices to Projects: QuickBooks Online Estimates and Invoices sync to the Documents section of the matching Project.
- Send jobsite photos to QuickBooks Online: CompanyCam Admins and Managers can manually send selected photos to a Customer record, Estimate, or Invoice when their QuickBooks Online subscription supports attachments.
- Collect signatures on synced documents: You can request digital signatures on eligible Estimates and Invoices that sync to CompanyCam.
- Link records between platforms: QuickBooks Online adds a link to the matching CompanyCam Project in the Customer’s Notes section.
- Sync paid CompanyCam Invoices: When Invoice syncing is enabled, CompanyCam Invoices marked Paid can sync to the linked QuickBooks Online Customer.
- Connect to Stripe for payment processing: Stripe powers CompanyCam’s built-in payment processing.
- Connect directly to Xero: No. Xero is not currently a direct CompanyCam accounting integration.
Admins and Managers can also control whether Standard and Restricted Users can view synced Estimates and Invoices as Documents. These access settings can be managed from the QuickBooks Online integration settings.
How the QuickBooks Online and CompanyCam integration works
Once you connect QuickBooks Online and CompanyCam, new Customers and Sub-Customers created in QuickBooks Online can automatically create matching Projects in CompanyCam. The Project includes synced customer information such as the name, shipping address, email address, and phone number.
The integration also connects billing documents and jobsite documentation across the two platforms:
- New QuickBooks Online Customers and Sub-Customers create matching CompanyCam Projects.
- QuickBooks Online Estimates and Invoices sync to the Documents section of the corresponding Project.
- Projects receive labels such as QuickBooks Customer, Estimate Attached, or Invoice Attached based on the records connected to them.
- Admins and Managers can select CompanyCam photos and send them to a QuickBooks Online Customer record, Estimate, or Invoice.
- QuickBooks Online Customer records include a link back to the corresponding CompanyCam Project.
- Paid CompanyCam Invoices can sync back to the linked QuickBooks Online Customer when Invoice syncing is enabled.
The integration creates Projects for new Customers and Sub-Customers going forward. Existing QuickBooks Online customers do not automatically create CompanyCam Projects when you first connect the integration.
Put jobsite photos on your estimates and invoices
Photos can give customers more context around an Estimate or Invoice. You can show the conditions you found, document completed work, or provide visual support for the charges included on the document.
Your crew captures the job documentation in CompanyCam. An Admin or Manager can then select the photos that matter and send them to the appropriate QuickBooks Online Customer record, Estimate, or Invoice.
Photo syncing is a manual action, so your team controls which images leave CompanyCam. Photos sent to a Customer record appear in its Attachments section, while photos sent to an Estimate or Invoice appear at the bottom of the document. Your QuickBooks Online subscription must support attachments to use this feature.
Collect signatures on synced estimates and invoices
When an Estimate or Invoice from QuickBooks Online syncs to CompanyCam, you can request a digital signature directly from the document. This gives customers a way to approve an Estimate or sign off on an Invoice while the document stays connected to the Project.
Built-in e‑signatures can support approvals in the field or from the office, depending on how your team handles customer sign-off. Signature availability depends on your CompanyCam plan.
Keep QuickBooks records connected to your Projects
The integration reduces the amount of customer and job information your team needs to move manually between QuickBooks Online and CompanyCam. Customer details, Estimates, and Invoices can flow from QuickBooks Online into the matching Project, giving your team access to billing documents alongside the jobsite record.
Each Project created through the integration also receives a QuickBooks Customer label, while Projects with synced billing documents can receive Estimate Attached or Invoice Attached labels. QuickBooks Online adds the CompanyCam Project link to the Customer’s Notes section, giving your office a direct path back to the job documentation.
This setup keeps your accounting workflow in QuickBooks Online while connecting it to the photos and Project information your team manages in CompanyCam. As your workload grows, having connected records can help contractors stay organized across the field and office.
Sync paid CompanyCam Invoices to QuickBooks Online
CompanyCam also has built-in Invoices, so you can bill customers from the same Project where your team manages job documentation. You can create an Invoice directly from a Project or create one against an accepted Proposal, then add line items and Project photos before sending it to your customer.
After completing Stripe onboarding, customers can pay CompanyCam Invoices using supported payment methods, including cards and ACH bank transfers. When Invoice syncing is enabled in the QuickBooks Online integration settings, an Invoice marked Paid in CompanyCam can sync back to the linked QuickBooks Online Customer.
Only paid CompanyCam Invoices sync back through this workflow. Requested or pending Invoices do not appear in QuickBooks Online through the Invoice sync.

Photos sent to a Customer record appear in its Attachments section, while photos sent to an Estimate or Invoice appear at the bottom of the document. Your QuickBooks Online subscription must support attachments, and mobile users need a supported version of the CompanyCam app.
Can I collect payments in CompanyCam and sync them to QuickBooks Online?
Yes. CompanyCam offers built-in payment processing powered by Stripe, allowing customers to pay CompanyCam Invoices using supported methods such as cards and ACH bank transfers.

Does CompanyCam integrate with Xero?

How do I connect CompanyCam and QuickBooks Online?
You need Admin or Manager permissions in both CompanyCam and QuickBooks Online to set up the integration. The connection must be completed from a web browser.
To connect your accounts:
- Open App Marketplace under Integrations in CompanyCam.
- Find and select QuickBooks Online.
- Click Connect, then Continue.
- Sign in to your QuickBooks Online account and follow the prompts.
- Choose your access and Invoice syncing settings, then save.
Once connected, new QuickBooks Online Customers and Sub-Customers can create matching CompanyCam Projects, and their Estimates and Invoices can sync to those Projects. If your account still shows QuickBooks Legacy (Deprecated), reconnect to the current QuickBooks Online integration to keep the integration supported.
