Attendees of a recent class had tons of questions about CompanyCam checklists. So, we put together this quick guide to help users navigate the ins and outs of this awesome feature that thousands of users use to get the documentation they need and keep their work on track.

Here are four highlights that our class focused on most from our most popular class to date.

Assigning Checklists to Your Team

If things aren’t on a checklist, they probably won’t get done. But if no one knows about the list in the first place, you’re in trouble.

That’s why assigning users to checklists is vital. In fact, assigning users to your checklists will increase the chance they’re completed by 17%!

In CompanyCam, you assign users to entire checklists, not individual fields. This ensures they have all the context they need to complete their item, even if it’s 1 of 30 in the list.

To assign a user:

  1. navigate to your active project

  2. elect the checklist under the Checklists tab

  3. click +👤 Assign and type to find your team member

Note: If you’re working with subcontractors through a Collaborator link, you cannot assign checklists directly to them. But if they have a paid CompanyCam account, they can see your checklists and work on them alongside you and your team.

Saving Checklists as PDFs

If you need to get your checklist info out of CompanyCam and into a more shareable form, you can easily export your checklists — complete with photos and details — to PDF.

When you export, you can choose how much or how little detail you want to include in the PDF version, depending on who you’re sending it to.

Pro Tip: Need to make a quick change order? Select Save to Project Documents. Then, once it’s in your Project Documents, you can use Signatures to add areas for you and your client to sign and date.

Adding the Same Checklist to Multiple Projects

How do you ensure consistency and quality on every job? Checklist Templates.

Checklist Templates are a Premium feature that allows you to save and apply your most-used lists to each and every project your team works on. 

Not only will team members have something to check their work against, but business owners and managers can feel more comfortable sending anyone off on a job knowing they’ll have photos they need in CompanyCam.

Once you create your Checklist Templates, add them to Project Templates. So when your team adds a new project, your most used Checklists — along with Report and Document Templates — will automatically be ready in the project.

When to Use Checklists vs. Tasks

Checklists and Tasks are similar, but they have slightly different use cases.

Here’s an easy way to keep the two straight:

  • Checklists are your standard operating procedure. They act as the guidelines for someone working on a project, including what they should do, when they should do it, and how they’ll complete it.

  • Tasks are more for one-off or punch list items. Use tasks to make quick notes of materials needed or things that need to be addressed in general or on specific photos/​videos in the project.

Tasks can also be created from a photo or video, so there’s no mistaking what you’re trying to address. Like Checklists, Tasks show who completed each item and when helping keep your teams accountable to the Tasks at hand 🍅🥬
