Every job has steps your crew needs to complete, from documenting an inspection to wrapping up a punch list. CompanyCam Checklists give your team a repeatable way to track those steps and keep the documentation connected to the Project.
You can build checklists from scratch, reuse templates, assign work to team members, and add photos to document completed work. CompanyCam AI can also help create and complete checklists using voice input, giving crews another way to update their work from the field.
Create a checklist for your Project
Checklists live inside Projects, keeping the work your team needs to complete connected to the rest of the job documentation. A checklist is made up of individual Fields and optional Sections that group related Fields together.
Each Field can include notes or instructions, and you can require a photo to document the completed work. You can also add a reference image to show crews what to capture or add a yes/no, rating, text, or multiple-choice question.
To create a Classic Checklist on the web:
- Open the Project where you want to add the checklist.
- Click the Checklists tab.
- Click + Create Checklist.
- Select + Classic Checklist.
- Give the checklist a title.
- Click Create Checklist.
- Click + Add Field to add Fields and instructions.
- Click + New Section to organize related Fields when needed.
In the mobile app, open the Project, go to To-Dos, tap the + icon, and select + Classic Checklist. You can build a checklist from scratch or start with a template when your team already has a standard process.
Choose between Classic and Advanced Checklists
CompanyCam offers Classic and Advanced Checklists for different types of jobsite processes. Classic Checklists give your team an ordered list of Fields to complete and document, making them a good fit for straightforward processes that follow the same steps each time.
- Advanced Checklists add conditional logic, so follow-up Fields can appear based on previous responses. They also support drag-and-drop Sections, giving you more control over checklists that need to adapt based on what crews find in the field.
- Use a Classic Checklist for a standard inspection or project closeout where the required steps stay consistent. An Advanced Checklist can work better when an answer during an inspection determines what your crew needs to document or complete next.
Create checklists with AI
CompanyCam gives crews another way to build checklists from the field using AI. Instead of entering each checklist item individually, you can talk through the work and let the AI Assistant organize that information into a checklist.
To create a checklist with voice:
- Open the CompanyCam mobile app.
- Open the Project and go to To-Dos.
- Tap the + icon.
- Select the option to create a checklist with AI.
- Talk through the work that needs to happen.
- Review the checklist created by the AI Assistant.
- Edit or add checklist items as needed.
This works well after an inspection, site visit, or walkthrough when you already have the details needed to build the next list of work.
Assign checklist work to your team
Once a checklist is ready, you can assign it to one or more people responsible for completing the work. You can also assign individual Fields to specific team members when different people own different parts of the checklist.
Assigned checklist work gives crews a clear place to see what they’re responsible for and document it as they go. The completed Fields then stay connected to the Project for the rest of your team to review.
Add photos and complete checklist fields
Checklist fields give crews a place to document individual steps as they work through the job. By default, a field requires a photo before it can be marked complete, although you can turn off the photo requirement when visual documentation isn’t needed.
You can also add reference images to Fields to show crews what you want them to capture. This can help create a more consistent inspection process when the same types of photos need to be documented across Projects.
To complete a field in the mobile app:
- Open the Project and go to To-Dos.
- Open the checklist.
- Find the field you’re working on.
- Tap + Photos when a photo is required.
- Take a new photo or add one from your device or Project.
- Answer any question included with the field.
- Tap the circle next to the field to mark it complete.
Fields can also be marked complete in Offline Mode when you’re working without a connection. Photos can’t be added to checklist Fields until the device reconnects.
Complete checklists with voice
Crews can also use CompanyCam AI to update an existing checklist from the mobile app. The AI Assistant uses voice input to identify completed work and update the corresponding checklist Fields.
To complete a checklist with voice:
- Open the checklist in the mobile app.
- Start the AI voice option.
- Talk through the work you completed.
- Take supporting photos while recording when needed.
- Let the AI Assistant match your updates to the appropriate Fields.
- Review the completed Fields and make any needed edits.

Turn Files and Documents into checklists
Existing project documentation can also become a checklist. CompanyCam supports converting Word files, Excel files, PDFs, images, and TXT files into Classic Checklists, giving you a way to turn existing forms or job information into work your crew can complete inside the Project.
You can also convert a CompanyCam Document or Walkthrough Note into a checklist. This can be useful when an inspection, walkthrough, or other project record identifies follow-up work that needs to be assigned and completed.
To convert a Document on the web:
- Open the Project and click the Documents tab.
- Find the Document you want to convert.
- Click the 3 Dot Icon next to the Document.
- Select Convert to Checklist.
- Open the new checklist from the Checklists tab.
- Review the Fields and make any needed changes.
With Walkthrough Note, you can capture photos and observations as you move through the jobsite, then turn that information into a checklist for follow-up work.
Save checklists as PDFs
Sometimes the people who need your project documentation aren’t CompanyCam users. You can export a completed checklist as a PDF to share the work outside your account.
When exporting, choose how much checklist information and photo documentation you want to include based on what the recipient needs. This gives you a shareable record for customers, general contractors, insurance contacts, or your own project files.
Use checklist templates across Projects
If your team follows the same process across multiple jobs, Checklist Templates give you a reusable starting point. Save a commonly used checklist as a Template, then add it to future Projects instead of rebuilding the same Fields each time.
You can also add Checklist Templates to Project Templates. When your team creates a Project from that template, the standard checklists can already be attached and ready for the job.

Use checklists and tasks for different types of work
Checklists and tasks both help teams track what needs to happen on a Project, but they support different types of work.
- Checklists work well for repeatable processes with multiple Fields. Use them when crews need to follow a standard process, answer questions, or document completed work with photos.
- Tasks work well for individual action items that come up during a Project. You might create a task to flag a repair, follow up on an issue, or assign work tied to a project photo or video.
For example, an inspection process might use a checklist to guide the inspection while a task calls out a specific repair that needs attention afterward.
