If you take photos or videos on the job site, CompanyCam gives your crew one place to capture and organize the work. Photos and videos are automatically organized by project and synced to the cloud, giving the field and office access to the same project record.
This guide covers what CompanyCam is, how it works, and how to use its core features for jobsite documentation. You’ll learn how to set up projects, document work, communicate with your crew, build reports, and share project information with customers.
What is CompanyCam?
CompanyCam is a photo documentation app built for contractors and field service teams. It keeps jobsite photos, videos, project details, and communication connected to the project where the work happened.
Beyond photo and video documentation, CompanyCam includes tools for checklists, reports, documents, signatures, payments, and project updates. Teams can also use project photos to create before-and-afters, build a portfolio of completed work, and support sales conversations with visual proof from past jobs.
Crews can document work in the field while office teams review progress, organize project records, and share information with customers. From documenting the first inspection to showing off the finished project, CompanyCam keeps the photos and project information your team uses throughout the job in one place.
Add and manage your team
Start by adding the people who need access to CompanyCam. Enter each person’s email address, choose their permission level, and send an invite so they can join your company account.
Permission levels control what each person can view and manage inside CompanyCam. Setting these roles during onboarding gives crew members, managers, and office staff access to the project information and tools they use for their work.
To add a new user:
- Enter their email address.
- Choose their permission level.
- Send the invite.
For a more detailed walkthrough, follow the steps for inviting new users. You can also build CompanyCam into your new-hire onboarding process so employees learn how your company documents jobs from the start.
Create and organize projects
CompanyCam organizes job documentation around projects. When you create a project, CompanyCam can use your location to suggest nearby addresses, helping you quickly set up the job you’re documenting.
Photos and videos captured within the project are automatically organized with details such as date, time, and the person who captured them. Your crew can open the project to review its documentation and see what has happened at the job site.
You can also use project templates and groups to create a consistent project structure across similar jobs. This gives teams a repeatable way to organize projects as the number of active jobs grows.
Capture photos and videos from the field
Photos and videos captured through CompanyCam go directly into the project you’re documenting. This creates a chronological project record that crews and office teams can review without moving job photos from personal camera rolls into another system.
CompanyCam also includes Offline Mode for job sites with limited or no cell service. In the mobile app, crews can capture photos and videos while offline, and CompanyCam queues the files to upload automatically when the device reconnects.
Offline Mode also supports working with previously opened Checklists and Project Tasks, along with creating documents, like Daily Logs, Invoices, and Proposals. Crews can keep documenting work in areas with unreliable service and sync their updates once they’re back online.
Add context with tags, descriptions, and annotations
A photo can show what happened on a job, while the details attached to it explain what the crew found or completed. Add descriptions, tags, comments, and annotations to photos so other people reviewing the project have more context.
Annotations let you draw directly on photos to point out measurements, damage, installation details, or areas that need attention. Tags and labels also give you another way to categorize photos and find them later.
CompanyCam’s search and filtering tools help you narrow project documentation by details such as users, tags, and dates. You can also use Before & After photos to compare different stages of a project and create visuals for customers or your portfolio.
Communicate with your crew in the app
Keep job-specific conversations connected to the project with in-app communication. Crew members can comment on photos and videos, participate in project conversations, and use @mentions to notify another person when they need their attention.
Because conversations stay with the project documentation, your team can review the photo or video being discussed alongside the conversation. This gives field and office teams the same visual context when discussing progress, questions, or next steps.
CompanyCam also supports AI-powered translations for in-app conversations on select plans. Teams can translate comments and conversations within the app when crew members communicate in different languages.
Use checklists and tasks to track work
Checklists give crews a repeatable way to document job requirements and track completed work. You can create a Checklist from scratch, save reusable Checklist Templates, or convert existing Pages and files into Checklists.
Checklist fields can include instructions, questions, and required photos so crews can document the work as they complete each item. Project Tasks work alongside Checklists for one-off to-dos and can be added to projects, photos, or videos.
CompanyCam also includes AI tools for Checklists on select plans. In the mobile app, you can describe a Checklist out loud and have CompanyCam build it, or use voice to record progress and complete Checklist fields while you work.
Build reports and documents
CompanyCam’s Document Builder gives you a place to turn project photos and information into documents you can keep with the project or share with customers and other stakeholders. You can build photo reports, organize information into sections, add text and project details, and choose the documentation you want to include.
Reusable templates help teams create a consistent format for recurring documents such as inspections, progress updates, completion reports, and other project records. Instead of rebuilding the same document for every job, teams can start with a template and add the project-specific information they need.
Because documents stay connected to the project, your team can build customer-facing or internal records from the photos and information already captured in CompanyCam.
Build documents with AI
CompanyCam’s AI tools can use jobsite photos, descriptions, and project information to help create reports and project updates. Depending on your plan and the type of update you need, AI can organize existing documentation into a Summary, Daily Log, Progress Recap, or Walkthrough Note.
Each option supports a different type of project communication:
- Summary: Adds AI-generated context to a selection of project photos.
- Daily Log: Pulls together documentation from a day of work into an editable update.
- Progress Recap: Organizes project history into an update covering work completed over a selected period.
- Walkthrough Note: Uses photos and spoken observations captured during a site walkthrough to organize project notes.
Your team can review and edit the generated content before sharing it. These automations use the documentation already captured in CompanyCam, so the finished document stays connected to the project record.
Share project updates with customers
CompanyCam gives you several ways to turn project documentation into customer-facing updates. You can share project progress through photo galleries, timelines, Reports, Pages, and other shareable project content.
Choose the format based on what the recipient needs. A timeline can provide an ongoing look at project photos, while a Report can package selected documentation into a finished PDF for a customer, subcontractor, or insurance adjuster.
For longer projects, shared documentation can also reduce the need for additional site visits just to review progress. See how utility project teams use photo documentation to share project information with government agencies, contractors, and community stakeholders.
Keep files and signatures with the project
Upload PDFs and other project files to keep contracts, work orders, change orders, and other documents with the project. Files live in the Documents tab alongside Pages, giving your team one place to find project documentation.
On select plans, you can send files for electronic signatures from CompanyCam. On the web, Signature Requests can be sent to one or more signers by email, with options to set a signing order and place signature or autofill fields on the document.
The mobile app also includes Fill & Sign for adding signatures and text directly to uploaded files. Signatures can be drawn, typed, or uploaded as an image, making it possible to complete paperwork while you’re at the job site.
Send invoices and collect payments
CompanyCam includes sales and billing tools that keep customer information connected to the project. You can create Proposals for upcoming work, send itemized Invoices for billing, and give customers a way to pay through CompanyCam.
After setting up built-in payment processing, you can request and collect payment directly from supported Proposals and Invoices. This keeps billing activity tied to the same project that contains the photos, scope details, and other documentation related to the work.
For eligible in-person payments, Tap to Pay gives you another way to collect payment from a compatible mobile device. Feature and payment method availability can vary by plan and account setup.
Connect CompanyCam with the tools you use
CompanyCam offers more than 60 integrations across CRM, estimating, accounting, and field service platforms. Integrations can pass project information between CompanyCam and the other software your company uses.
You can also connect CompanyCam to additional apps through Zapier. The Chrome Extension gives desktop users another way to access CompanyCam photos while working in browser-based software.
Connecting these tools can reduce the amount of project information your team has to enter in multiple places. Your photos and job documentation stay in CompanyCam while connected platforms handle the parts of the job they were built for.
How does CompanyCam work?
CompanyCam starts with the project. Crews capture photos and videos from the field, and CompanyCam organizes that documentation with the job so other people on the account can review progress and project details.
From there, your team can add context with photo descriptions and annotations, communicate about the work, complete Checklists, and create documents for customers or internal records. Documents and AI tools can use documentation captured throughout the project to turn field updates into organized project records.
For your first week with CompanyCam, start with one active project and use it to learn the core features. A basic setup can look like this:
- Add your team and set permission levels.
- Create an active project and assign the right users.
- Capture jobsite photos and add useful descriptions.
- Add a Checklist or Project Task for work that needs to be tracked.
- Review the project from the office and communicate with your crew.
- Build a report or other document from the documentation you captured.
- Share an update with a customer or other project stakeholder.
Once your crew has the basics down, you can add templates, AI tools, integrations, sales and billing features, and other tools based on how your company works.
